Where E-Invoicing Can Make a Difference to Your Finance Team

Turn an e-invoicing project into practical improvements in exception handling, invoice visibility and the daily work of your finance team.

A useful e-invoicing business case starts with a question your team can answer: which part of invoicing creates the most avoidable work? It might be typing the same customer details twice, searching for a delivery update, or explaining why an invoice was rejected. Choose a specific problem and measure whether the new process improves it.

The Ministry of Finance describes automation, operational efficiency and improved cash flow as intended benefits of the programme. Those are useful objectives, rather than a guaranteed saving for every implementation. The MoF and FTA awareness-event announcement explains this wider business purpose.

Find the handovers that slow work down

Consider a distributor whose sales team enters an order, finance copies it into an invoice, and another employee updates a delivery spreadsheet. Each handover creates an opportunity to lose information. A connected workflow can reduce that repetition if the source records are complete and the teams agree how the information should move.

Start with an inventory of repeated actions. Label each one as necessary review, duplicate entry or avoidable searching. This prevents a common mistake: automating an approval that serves a real control purpose while leaving an unnecessary copying step untouched.

Give exceptions a place to go

A missing buyer reference should become an assigned task, rather than a message buried in an inbox. Decide who receives the alert, what they need to correct and how the team knows the correction succeeded. Keep that route visible to colleagues covering holidays or absences.

This is where a practical return often becomes easier to see. Record the number of invoices requiring manual correction and the time spent resolving them before and after rollout. Investigate recurring causes in customer or item records instead of repeatedly fixing the same symptom on individual invoices.

Use status information to make better decisions

A finance manager needs different answers from a technical administrator. One wants to know which customer transactions need follow-up; the other wants to know which transmission or reporting step needs attention. Organise views around those decisions so that a dashboard leads to action.

Keep technical delivery, reporting progress, buyer approval and payment separate in your internal reporting. An electronically delivered invoice can still be disputed. Clear labels help accounts receivable staff choose the right next step without assuming that every outstanding balance is a transmission problem.

Improve the evidence behind an answer

When a buyer asks about an invoice, staff should be able to find its reference, version and transaction history together. Set a retrieval exercise during testing: can someone who did not issue the invoice explain what happened and find the associated records?

Apply the same discipline to corrections. Record why a document was corrected, who approved the change and how related documents can be located. A tidy trail reduces dependence on one employee's memory and makes internal reviews easier to complete.

Build a modest scorecard

  • Effort: How many manual touches does a routine transaction require?
  • Quality: Which missing or inconsistent fields cause repeat exceptions?
  • Responsiveness: How quickly does an assigned owner resolve a failed step?
  • Visibility: Can staff distinguish technical progress from payment progress?

Use a representative sample and record the context, such as transaction complexity or peak workload. A quiet week should not be compared with month-end without explanation. Set improvement targets after learning your baseline instead of borrowing a percentage from an unrelated business.
